CRM systems

A CRM system built around the way you work

A CRM system that keeps customers, enquiries, deals and follow-ups in one place, instead of a notebook, three spreadsheets and someone's phone.

Start with your business.

Twenty minutes, free. If an off-the-shelf CRM for small businesses will do the job, we say so on the call.

What we build into a CRM system for a small business

  • Customers and contacts

Every customer with their history: enquiries, calls, quotes, orders and team notes, in one place.

  • Enquiries arrive on their own

Your website forms write every enquiry straight into the system and alert the team by email. Nobody copies anything over.

  • Deals and stages

The stages are yours: new enquiry, quote, confirmed, done. You see where everything stands and where it gets stuck.

  • Follow-up reminders

Every enquiry has a date for the next step and a person responsible for it. The system reminds them before anyone forgets.

  • Client portal

When you need it, your customers log in to their own account and see their status, documents and invoices. The data comes from the same CRM.

  • Roles and permissions

You decide who sees what: each employee their own customers, the manager everything.

  • Connections to other software

We connect the system to spreadsheets, email, a calendar or accounting software if they allow a connection (API). We check first, then promise.

  • Moving your data

We bring over the customers and enquiries that are in scope from the spreadsheets or software you use today.

Monday, 9 am. You open the system and see which weekend enquiries are still waiting for a reply, who needs a call today and which quote has not been confirmed yet. Nothing depends on who remembers what.

The problem we solve

In most small firms customers live in several places at once: the inbox, a spreadsheet, Viber and the owner's head. An enquiry from the website gets lost between them, a promised call is forgotten, and when someone on the team is away, nobody knows where the conversation with the customer stands.

Off-the-shelf software often wants you to work its way, with fields and stages you do not need. A CRM built around your work shows only what you use and connects to the tools you already have.

Is this for you?

If you have few customers and one well-kept spreadsheet is enough, a CRM system will not pay for itself. If an off-the-shelf CRM for small businesses fits the way you work, we tell you in the first call and do not sell you a build.

A custom CRM makes sense when enquiries come from several channels, more than one person works with the same customers and deals move through several stages: service firms, clinics, agencies, construction and repair firms, business-to-business supply. Also when you want your customers to see their own records in a portal.

From first call to launch

  1. A conversation

Twenty free minutes. You tell us where your customers come from, who works with them and where enquiries get lost.

  2. Scope and price

We describe the stages, the roles, which forms and software we connect and what data we move. You get the scope and price in writing before we start.

  3. Build in parts

You see a working version early and give feedback as the system grows.

  4. Data move and handover

We move the data that is in scope, connect your website forms and show your team how to work with the system.

From you: one conversation, the spreadsheets or lists where you keep customers today, and feedback on the working version. No homework.

Systems already running

We show working systems, not projected results.

Internal system · in use · not for sale

Our internal business workspace

Leads, deal stages, follow-up dates and company records in one place instead of several spreadsheets.

Client build · live · name withheld

A members' platform with login and a CRM

Members log in to their own account and see their content and meetings. Behind it, the CRM controls who can access what.

Our own site · live

The enquiry path on this site

The form stores every enquiry in a database and a Google Sheet and emails both founders. If the email fails, the system tries again.

CRM system pricing: what it depends on

The price depends on the scope: how many stages and roles there are, which forms and software we connect, whether there is a client portal and how much data we move. A system with customers, enquiries and reminders is one job. A system with a portal, documents and several teams is another.

That is why we do not publish a price list. After the free 20-minute call you receive a written offer with a fixed price for the build and a separate monthly amount for hosting and support. Before you pay, we confirm the total and any applicable tax in writing.

Your questions, answered

Why a custom CRM and not off-the-shelf software?

Off-the-shelf software is the better choice if it fits the way you work, and we tell you so. A custom CRM makes sense when ready-made tools force you to work someone else's way, do not connect to your tools, or you need a client portal around them.

Can you move our customers over from spreadsheets?

Yes. We bring over the data that is in scope from spreadsheets or from the software you use today. Exactly what we move is agreed in the offer.

Does it connect to our website?

The websites we build write enquiries straight into the system. For a site someone else built, we check what it allows before we make an offer.

Is customer data safe?

Access requires a login and permissions are set by role. How and where the data is stored is described in writing in the offer, in line with data-protection requirements.

Who owns the system and the data?

The data is yours. After full payment the system is yours; our shared components stay ours and you receive a licence to use them. Where the system runs is agreed in writing in the offer.
